Connect Exchange Server (on-premises)
What you need
- Exchange Server 2013 or newer (on-premises)
- Access to the Exchange admin center or the Exchange Management Shell
- Your EasyMailArchive account
The transport rule archives all new messages continuously. Existing mail is imported separately over IMAP mailboxes (see below).
1. Copy the relay address
- Open Admin > Integrations.
- On the SMTP BCC relay card, click Set up.
- Copy Your relay address. It looks like
{slug}-{token}@smtp.easymailarchive.com. The part after the hyphen is a token that differs for each tenant. Addresses without the token stop working after a short grace period.
2. Create the transport rule
In the Exchange admin center:
- Open Mail flow > Rules.
- Create a new rule, for example named "Archive".
- Apply it to all messages.
- As the action, choose Bcc the message to and enter the relay address.
- Save and enable the rule.
Or in the Exchange Management Shell:
New-TransportRule -Name "Archive" -BlindCopyTo "{slug}-{token}@smtp.easymailarchive.com"
Without further conditions, the rule applies to all messages.
3. Check outbound delivery
The copy goes to smtp.easymailarchive.com as normal external mail. Your Exchange must be able to deliver externally.
- Make sure a send connector reaches external addresses. This also applies if you use your provider's smarthost.
- The server or smarthost must be allowed to open outbound connections on port 25 to
smtp.easymailarchive.com. - The relay address needs no login.
4. Finish the setup
- In the SMTP BCC relay setup dialog, click Done.
- The message "SMTP BCC source created." confirms the source.
5. Test
- Send a test email with a unique subject from a mailbox to an external address.
- Send a second test email from outside to a mailbox.
- Search for the subject under Search.
How to verify the first archived mail: Verify your first archived email.
6. Import existing mail
The transport rule only captures new messages. Import older mail with IMAP mailboxes.
- Enable IMAP for the mailbox, for example with
Set-CASMailbox -Identity [email protected] -ImapEnabled $true. - Make sure the Exchange IMAP services are running and the server certificate is valid from outside.
- IMAP over SSL must be reachable on port 993.
- Open Admin > Integrations and choose IMAP mailboxes.
- Click Add mailbox.
- Enter Server, Username and Password.
- Under Assign emails to, choose the matching user or group.
- Click Test connection, then Add mailbox.
The import reads all folders, including Sent, and skips messages that are already archived. Progress is shown under Admin > Import Jobs.
The import is a one-off. It runs when you add the mailbox, on Sync now and after Save & re-import. EasyMailArchive does not fetch new mail after the import on its own. The transport rule covers that.
