Adding a Domain
Why add a domain?
Before Easy Mail Archive can archive your emails, you need to register the email domains your organization uses. This tells the system which emails belong to your organization and ensures that only authorized domains are archived under your tenant.
For example, if your team uses @acme.com and @acme.de email addresses, you would add both domains to your Easy Mail Archive tenant.
Adding a domain
To add a new domain, follow these steps:
- Log in to your Easy Mail Archive tenant
- Navigate to Admin > Domains in the sidebar
- Click the Add Domain button
- Enter your domain name (e.g.,
acme.com) - Click Save
The domain will appear in your domain list with a "Pending Verification" status. You must verify ownership before the domain becomes active.
Verifying domain ownership
Domain verification proves that you control the domain you are adding. Easy Mail Archive uses DNS-based verification:
- After adding the domain, you will see a verification TXT record displayed on the domain detail page
- Log in to your DNS provider (e.g., Cloudflare, Route 53, GoDaddy)
- Add a new TXT record to your domain's DNS settings with the value shown in Easy Mail Archive
- Return to Admin > Domains and click Verify next to your domain
DNS changes can take anywhere from a few minutes to 24 hours to propagate. If verification fails, wait a bit and try again. You can check whether the TXT record is visible using a tool like dig or an online DNS lookup service.
Domain status
Each domain in your list shows one of the following statuses:
- Pending Verification - The domain has been added but not yet verified
- Active - The domain is verified and ready for archiving
- Failed - Verification was attempted but the DNS record was not found
You can retry verification at any time for domains in "Pending Verification" or "Failed" status.
Multiple domains
Many organizations use more than one email domain. You can add as many domains as you need. Simply repeat the process for each domain. All verified domains will be treated equally when archiving - emails from any verified domain will be captured and stored in your archive.
