Inviting Users
Adding your first users
To give your team access to the archive, go to Admin > Users and click Add User. Fill in:
- Email — the address they will use to log in (must be on a verified domain)
- Name — their display name
- Role — User, Admin, or Auditor
- Send invite email — tick this to email them login instructions right away
If you leave the invite checkbox unchecked, you can always send the invite later from the user list.
Bulk import via CSV
When you need to add many people at once, click Import CSV on the Users page. Upload a CSV file with email and name columns (and optionally role). A sample file is available on the import form.
The import skips any email addresses that already exist and gives you a summary at the end.
Roles
There are three roles to choose from:
- User — can search and view messages they have access to, and manage their own account settings
- Admin — everything a User can do, plus full access to all archived messages and the entire Admin area
- Auditor — read-only access to all archived messages with the ability to mark messages as private, but no access to admin settings
Most team members should be Users. Only IT administrators or compliance officers typically need Admin or Auditor roles.
Managing existing users
From the user list you can click any user to open their profile, where you can:
- Change their role
- Update their name or email
- Add email aliases (so they see messages addressed to other addresses)
- Assign them to groups
- View their assigned IMAP sources
- Deactivate or delete their account
Deactivated users cannot log in, but their archived messages remain searchable by administrators.
Licensing
Your plan determines the maximum number of active users (50 on Starter, 500 on Business, unlimited on Enterprise). Each active user consumes one license seat. If adding a user would exceed your current seat count, you will see a confirmation with the billing impact before proceeding.
