Searching by Sender

One of the most common ways to find a specific email is to search by who sent it. Easy Mail Archive provides a dedicated From field in the Advanced Search panel where you can enter the sender's email address. This filter only matches against the sender field, so you get focused results without interference from the same address appearing in the body or other fields.

You can enter a full email address (e.g., [email protected]) or just part of it. Partial matching is supported, which means:

[email protected] - matches this exact sender
john.smith - matches any sender whose address contains "john.smith"
example.com - matches any sender from the example.com domain

Searching by Recipient

The To field works just like the From field but filters by the recipient address. Use it to find all emails sent to a specific person or address. This is particularly useful when you need to verify what communications a particular person received during a specific time period.

As with the sender filter, partial matching is supported. Enter a full address or just the domain to cast a wider net.

Finding Emails Between Two People

By filling in both the From and To fields, you can find all correspondence between two specific people. For example, setting From to [email protected] and To to [email protected] will return only emails sent from Alice to that vendor.

Keep in mind that this searches in one direction. If you also want to see replies from the vendor to Alice, you would need to run a second search with the From and To values swapped, or use two separate searches.

Searching by Domain

If you want to find all emails from or to a particular organization, enter just the domain name. For example:

From: acme-corp.com - finds all emails sent by anyone at Acme Corp
To: partner-company.de - finds all emails sent to anyone at the partner company

This is a fast way to review all correspondence with a specific company without needing to know individual email addresses.

Combining with Other Filters

Sender and recipient filters can be combined with all other search options. Some practical combinations include:

From [email protected] + Subject containing "strategy" - find strategic communications from the CEO
To [email protected] + Has attachment enabled - find documents sent to the legal team
From supplier.com + Date range set to last quarter - review all supplier emails from the previous quarter

These combinations help you build targeted queries that return exactly the emails you need.
