Invoices and Receipts
Accessing Your Invoices
All invoices and payment receipts are available in your Easy Mail Archive account. To view your invoice history:
- Navigate to Settings > Billing
- Scroll down to the Invoice History section
- You will see a list of all invoices with their date, amount, and payment status
Each invoice entry shows whether the payment was successful, pending, or failed.
Downloading Invoices
To download an invoice as a PDF:
- Go to Settings > Billing > Invoice History
- Find the invoice you need
- Click the Download button next to the invoice
The PDF invoice contains all the details required for your accounting records, including your company details, the billing period, itemized charges, and applicable taxes.
Invoice Details
Each invoice includes the following information:
- Invoice number - A unique identifier for the invoice
- Billing period - The start and end date of the billing cycle
- Plan name - The Easy Mail Archive plan you are subscribed to
- License count - The number of licenses billed
- Per-license price - The unit price for your plan
- Subtotal - The total before taxes
- VAT/Tax - Applicable value-added tax
- Total - The final amount charged
Billing Email Address
Invoices and payment notifications are sent to the billing email address configured for your account. This can be different from your personal login email. To update the billing email:
- Go to Settings > Billing > Billing Details
- Update the Billing Email field
- Click Save
This is useful if invoices should go to your accounting department rather than the account administrator.
Past-Due Invoices
If a payment fails, the corresponding invoice will be marked as past due. Easy Mail Archive will automatically retry the payment. Once the payment succeeds, the invoice status will update to paid. If you need to manually resolve a past-due invoice, update your payment method in Settings > Billing and the outstanding amount will be charged to the new payment method.
